This policy explains what personal data we collect at bookedforyou.co.uk, why, and what your rights are. We've kept it short and plain.
Who we are
BOOKED FOR YOU LTD, a company registered in England and Wales (number 17174410). Founded and run by Kat Martyn. Contact: Info@bookedforyou.co.uk.
We are the data controller for any information you give us directly. When we run Instagram DM outreach on behalf of a client clinic, we act as a data processor under that clinic's instructions.
What we collect
When you apply or email us: your name, email, Instagram handle, and whatever details about your clinic you choose to share in the application form. The form itself is hosted by monday.com — see their privacy policy for how they handle the submission.
When you visit the site: standard server access logs (IP address, browser, pages viewed) via our hosting provider. We don't run analytics, advertising trackers, or a cookie banner because there's nothing to track or consent to.
Why we use it
- To reply to your enquiry and deliver the service if you become a client
- To meet legal obligations (HMRC, accounting records)
Our lawful bases are contract (or pre-contract steps) for enquiries, and legal obligation for tax records.
Who we share it with
We don't sell your data. We only share it with services that help us run the business:
- monday.com — hosts our application form
- Our email provider — to receive and reply to enquiries
- Our accountant — for client billing records
How long we keep it
Enquiries that don't become clients: up to 12 months from your last message to us. Client records: 7 years after the engagement ends, as required by UK tax rules.
Your rights
Under UK GDPR you can ask us to:
- Show you what we hold about you
- Correct anything that's wrong
- Delete your data
- Restrict or object to our use of it
- Send your data to you in a portable format
